The product

Who is Shortlist Bio for?

Business development and commercial teams at small and mid-sized Contract Research Organization (CRO)s and Contract Development and Manufacturing Organization (CDMO)s, and independent consultants who sell into biotech and pharma sponsors. It is built for teams that want to reach sponsors before a request for proposal is issued or a vendor shortlist is formed.

What does it actually do?

It watches public sources for signs that a sponsor may soon need outsourcing help, such as a new clinical trial, a private funding round, or an FDA approval. It matches those signals to sponsor companies, scores each company against your own ideal customer profile, and gives your team a short, ranked list of who to contact this week and why.

What is a signal?

A dated public event that suggests a sponsor's outsourcing needs may be changing: a trial registration or update, a Form D filing showing a private company raised money, a new drug approval, or an FDA announcement naming the company. Your team can also log its own signals, such as a hiring move or a conference meeting.

How does scoring work?

Each sponsor gets a Fit score (0–100) based on how well it matches your ideal customer profile: company type, modality, therapeutic area, and development stage. It also gets an Intent score (0–100) based on its recent signals, with newer signals counting more. The two combine into a Total score and a category: Hot (reach out this week), Warm (add to nurture), Cool (monitor), or Cold (deprioritize). By default, a sponsor with a Fit below 50 can't rank above Cold, however much news it has, which keeps poor-fit companies out of your list.

What is the Discovery Queue?

New companies that the data sources find but that aren't yet in the main account list. They arrive with basic details only. You can add promising ones straight to your own list, and they are reviewed for enrichment into the main account list.

What is bid defense prep?

Before a Bid Defense Meeting (the meeting where a sponsor chooses between shortlisted vendors), you can pull the sponsor's signal history, your notes, and the capability videos you select into one printable packet, with a checklist for contacts, talking points, and pricing.

What are capability videos?

A library for your own short facility and capability videos, tagged by modality, turnaround time, and bioreactor scale. You can add a video to a bid defense packet or copy its link into outreach. You supply the videos; the library organizes them.

How is this different from Citeline, Evaluate, or other pharma databases?

Those are broad research databases, and they're very good at it. Shortlist Bio is narrower: it focuses on the daily business development question of which sponsors your team should act on now, scored against your own capabilities. Many teams can use it alongside an existing database rather than instead of one.

ClinicalTrials.gov and SEC filings are free. Why pay for this?

The sources are free; the time to check them isn't. Shortlist Bio checks four sources every business day, matches the results to sponsor companies, filters for biotech and pharma, scores everything against your profile, and gives you a short list. That replaces hours of manual searching per rep each week.

Data and coverage

Which data sources do you use?

ClinicalTrials.gov, SEC EDGAR Form D filings, OpenFDA drug approval records, and FDA press announcements. We don't use paid databases, scraped news sites, or social media.

How often is the data updated?

Each business-day morning, Eastern time. Updates are stored, so browsing and searching are always fast.

Which regions do you cover?

ClinicalTrials.gov includes sponsors worldwide. SEC Form D and FDA sources are US-focused, so funding and approval signals are strongest for companies active in the United States.

How accurate is the company matching?

Matching is automated and works well for most companies, but public sources spell company names differently, so some matches are missed. Missed matches aren't lost: they go to the Discovery Queue for review instead of disappearing.

Do you provide contact names and email addresses?

Not today. Shortlist Bio works at the company level: it tells your team which sponsor to approach and when. Your team then identifies the right person using your usual tools, such as LinkedIn.

Can we add our own accounts and signals?

Yes. You can track any account in the shared list, and add your own notes, signals, and pipeline stage to accounts you track. To add a company to the shared account list, send it to us and we'll add it.

Privacy and security

Can other customers see my notes, scores, or pipeline?

No. The sponsor list and public signals are shared, but your ideal customer profile, scores, notes, pipeline stages, meeting prep, and private conferences are visible only to your team.

If my competitor uses Shortlist Bio, don't we see the same leads?

You see the same public sources, but not the same list. Each team's scores come from its own ideal customer profile, so the ranked list you work from reflects your capabilities. Your edge comes from acting early and from your private notes and pipeline, which nobody else sees.

Who can log in?

Access is by invitation only. Each person on your team gets their own login, and only people you ask us to invite can see your workspace.

Do you use our data for anything else?

No. We don't sell or share your notes, scores, or pipeline, and we don't use them to inform other customers' lists.

Integrations

Does it connect to our CRM?

Not yet. HubSpot, Outlook, Gmail, and Slack connections are on our roadmap. If your team uses Salesforce or another CRM, tell us, because customer requests decide what we build next.

Can we export our data?

Not yet as a self-serve feature. If you need your tracked accounts or notes exported during a pilot or subscription, ask and we'll provide them.

Pricing and pilot

How much does it cost?

Consultant: $99 per month for one user. Team: $399 per month for up to 5 users, plus $79 per month for each additional user. Pay annually and get two months free. See the Pricing page for details.

Is there a free pilot?

Yes. A free 30-day pilot for up to 3 users, with no credit card. We run a short setup call to build your ideal customer profile, agree on what success looks like, and check in weekly. We take a limited number of pilot teams at a time so each one gets proper attention.

What counts as a successful pilot?

We agree on it together at the start. A typical goal: your team finds at least three sponsors worth contacting that it wouldn't otherwise have reached in time.

What happens after the pilot?

If it's working, you move to a paid plan. The first five teams to convert keep founding-customer pricing: the Team plan at $249 per month, locked for 12 months. If it isn't working, you simply stop; nothing renews automatically.

Is there a long contract?

No. Monthly plans can be cancelled at any time. Annual plans are optional and include two months free.

How long does setup take?

About 30 minutes. We set up your ideal customer profile with you on a short call, and every account is scored immediately.

Is training needed?

Not usually. The workspace is built around one weekly routine: open the dashboard, work the action list, and mark items done. The setup call covers it.
